Job Purpose:

The Senior Facility Management Executive is responsible for ensuring the effective maintenance and management of equipment, materials, and facility-related operations across store locations. This role involves scheduling and tracking maintenance activities, managing inventory, coordinating with suppliers, and supporting the maintenance team’s workflow to ensure operational efficiency and safety.


Key Responsibilities:

  • Monitor the maintenance system daily to check for pending maintenance requests and ensure timely case closure in line with procedures.

  • Identify stores not listed under designated areas in the system and coordinate with IT for updates.

  • Create and schedule periodic maintenance plans for each area on a weekly basis.

  • Track and follow up on the execution and completion of periodic maintenance tasks.

  • Contact and coordinate with suppliers to place orders and avoid stockouts of materials or equipment.

  • Generate product codes for new or reused equipment.

  • Receive and properly store incoming equipment/materials from suppliers or reused sources.

  • Distribute materials/equipment to the maintenance team as requested through the system.

  • Organize materials and equipment in a neat and trackable manner within the storage area.

  • Maintain storage and inventory of reusable equipment.

  • Handle equipment requests from other departments and facilitate delivery.

  • Share the periodic maintenance schedule with Operations and Quality Control teams.

  • Assist in arranging the work schedule of the maintenance team.

  • Perform other duties as assigned by the direct manager.


Requirements:

  • Bachelor's degree or equivalent experience in a relevant field.

  • General understanding of the construction or facilities management industry.

  • Familiarity with construction contracts and cost tracking is an advantage.

  • Minimum 2–3 years of experience in a similar role.

  • Capable of following structured processes and workflows.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • High level of computer literacy (especially in MS Office and maintenance systems).

  • Ability to manage multiple tasks and priorities in a fast-paced environment.

  • Good team player with a proactive and responsible attitude.

  • Ability to adapt to change and work under pressure.

  • Honest, reliable, and committed.

  • Detail-oriented and well-disciplined.

  • Willing to learn and take ownership of assigned responsibilities.
