Job Summary:
The Clerical Assistant is responsible for providing administrative and clerical support to the Legal Department, including document management, stamping, and maintaining records in compliance with company regulations.
Main Roles & Responsibilities:

Manage and use the company’s seal, as well as the name and position of the company’s legal representative, in accordance with internal policies and regulations.

Safely store original and stamped copies of documents in line with internal procedures and report regularly to superiors.

Review documents for legitimacy and compliance before stamping to ensure adherence to company regulations.

Assign numbering, record, and track all contracts and documents circulated both internally and externally.

Organize, store, manage, and provide relevant departments with access to the company’s official data and documentation.

Manage the storage and tracking of company licenses (including Certificates of Food Safety Conditions, Liquor/Tobacco Retail/Wholesale Certificates, and Insurance Certificates) and lease contracts; ensure all are properly recorded and readily available for relevant departments.

Provide administrative support and handle other clerical tasks as assigned by the Head of Legal or superiors.
Requirements:

College degree or higher in Clerical Assistance, Law, or a related field.

Minimum of 2 years of experience in a similar role.

Proficient in Microsoft Office applications (Word, Excel, etc.).

Strong attention to detail with the ability to review and manage large volumes of records.
